Personnel Files

Documents that will be placed and retained in
official personnel files include, but are not limited to; appointment packet
material, performance-related documents and requests for personnel payroll
actions.
Documents that will be maintained SEPARATELY from
official personnel files include, but are not limited to; medical information,
criminal history records investigations, garnishments and employee grievances.
The Commission on Colleges of the Southern
Association of Colleges and Schools, requires that the institution maintain
appropriate documentation that it employs competent faculty members qualified
to accomplish the mission and goals of the institution. Such documentation of competence,
effectiveness, and capacity, may include, as appropriate, undergraduate and
graduate degree transcripts, related work experiences in the field,
professional licensure and certifications, honors and awards, continuous
documents demonstrating excellence in teaching, or other demonstrated
competencies and achievements that contribute to the effective teaching and
student learning.
It shall be the duty of all employees to furnish the
institution with all such documentation immediately upon initial employment and
to ensure their files are updated as appropriate. Failure to do so could jeopardize employment
status.
Official personnel files of employees who transfer to
other State agencies will be forwarded to appropriate agency Human
Resource/Personnel Office in a timely manner.
