Employee Volunteerism

PURPOSE

DeKalb Technical College recognizes it is our responsibility as a good corporate citizen to help enrich our surrounding communities of residence and work. We encourage our employees to become involved in their communities, lending their voluntary support to programs that positively impact the quality of life within these communities.

The following guidelines are for DTC’s employees who serve as volunteers in community programs that are either of personal interest or are college-sponsored initiatives.

DEFINITIONS

Personal interest programs are programs selected by the employee, and do not have a relevance to the programs at DTC.  These programs provide enhancements for the communities and citizens they serve.  The volunteer time is on the employee’s time and does not have a bearing on work or work activities.  Travel reimbursement will not be provided for personal volunteer activities.

College-sponsored programs are those programs whose goals are considered of strategic importance and alignment with DeKalb Technical College’s mission and goals.  In some instances DTC may provide funding for the project or has determined that the program will provide an educational benefit for students of DTC. 

ELIGIBILITY

All full-time employees are eligible to participate in college-sponsored activities when granted approval from their Vice President.

A participating employee must have a satisfactory performance evaluation, and must not have areas of needs improvement identified in the last two performance evaluations. 

Employees on any form of discipline are not eligible to receive work away hours for participation in college-sponsored programs.

PROCEDURES

College-sponsored programs will be selected by the Leadership of DeKalb Technical College.  Employee may submit a request for a program to be considered as a college-sponsored program.  

Employees requesting approval for a college-sponsored activity should meet with their managers to discuss their request, the schedule of activities, how the activity meets with the mission and goals of the college, and how they are/or students at DTC will benefit from the service project. 

The Technical College System of Georgia Telework form must be completed by the employee and approved by the manager.  If the manager approves of the request, it is forwarded through the appropriate channels to the President’s Cabinet for approval. 

The programs selected for college sponsored volunteer programs must align with the mission and goals of DTC and will not provide financial or personal benefit to employees of the college.

Volunteer time will not be considered work time until there is appropriate approval for the volunteer activity.  Minimal travel reimbursement will be provided for college-sponsored activities.

Workers compensation will be applicable to those individuals who are approved to work away at a college-sponsored activity.

College-sponsored programs shall not be approved for charitable efforts toward political and religious groups or activities, or controversial groups.

Volunteer time should not conflict with the peak work schedule and other work-related responsibilities, create a need for overtime, or cause conflicts with other employees’ schedules.

Employees may be allowed to take up to and no more than 40 hours per year as determined and approved by the employee’s supervisor and appropriate Vice President and approved by the President’s Cabinet for work related volunteer activities.  The final approval for college-sponsored volunteer time is at the discretion of the President.
